Job Description
Are you a compassionate and experienced business office manager with previous senior living, long-term care, or skilled nursing industry experience? Fieldstone at Chester Springs – the area’s newest senior living community opening this Summer - is seeking a dedicated Business Office Manager to help build a team that is committed to delivering high-quality, person-centered care to our residents.
As Business Office manager, you will be responsible for coordinating and managing financial operations for the Community, ensuring the proper implementation of sound internal controls, interfacing with the Executive Director and the Department Managers to effectively manage the budget, identifying financial areas which may need attention, identifying and implementing procedures that enhance the fiscal operations of the Community, as well as generating and maintaining accurate financial statements and accounting records. Additionally, you will collaborate with corporate support to ensure the community is fiscally successful from the ground up. General day to day responsibilities will include…
• Preparing all monthly billing. Monitoring collection process utilizing established policies, procedures, and tracking systems.
• Overseeing cash controls including the depositing and posting of cash receipts. Implementing and monitoring controls over petty cash.
• Maintaining daily cashbooks for operational accounts. Preparing monthly bank reconciliation.
• Monitoring and overseeing the processing of accounts payable.
• Ensuring appropriate assignment of departmental expenses. Ensuring supporting documentation is executed and maintained.
• Ensuring the payment of insurance and real estate taxes. Responsible for related reporting requirements.
• Preparing and entering journal entries. Maintaining appropriate sub-schedules for Balance Sheet accounts.
• Processing monthly financial statements.
• Preparing management reports.
• Reviewing contractual obligations and fees associated with residency agreement at time of move-in and on an as needed basis.
• Maintaining resident, vendor, and financial accounting files.
• Preparing and submitting monthly sales tax reports and payments.
• Assisting in the preparation of the annual financial budget, annual audit schedules, tax reports, and any state required reports.
• Interfacing with residents on billing/collection issues.
• Overseeing preparation and maintenance of resident files, records, and reports.
• Providing payroll processing oversight.
• Creating and overseeing residents’ and patients’ private accounts for the Health Center. Preparing necessary reports to adhere to State, Local, and Federal guidelines.
• Supervising reception and concierge staff.
• Performing other related duties as assigned by management.

• Bachelor's Degree (BA) from four-year college or university, or one to two years of related experience and/or training, or equivalent combination of education and experience.
• Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.
• Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
• Ability to effectively present information to top management, public groups, and/or boards of directors.
• Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid; ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
• Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
• Exposure to payroll practices.
• Excellent written and verbal communication skills.
