Move-In/Marketing Coordinator

The Move-In / Marketing Coordinator works in accordance with established policies and procedures of the community with specific instruction from the Marketing Director. This position’s responsibilities primarily include managing administrative functions including resident services, coordinating events, completing reports, serving in a hospitality role, managing office inventory, managing social media and other components of digital marketing, and providing other administrative support functions.
Essential Functions include, but are not limited to:
- Coordinate move-ins, transfers, and move outs for Independent Living and Assisted Living Residents
- Manage the selection of standard options, standard upgrades, and custom upgrades for residences. Synchronize selections and coordinate with the Maintenance Departments as well as incoming resident’s timeline.
- Maintain status of all upcoming move-ins by community and communicate with residents, families, and vendors any timeline changes. Manage the timeline to the satisfaction of the resident.
- Act as primary contact for residents as they transition from being a depositor to becoming a resident. Execute a pre-move checklist and successfully transition new residents to Resident Services.
- Maintain inventory and status of all Independent Living and Assisted Living residences.
- Prepare paperwork/marketing materials (including leases) for prospects/new residents, including setting up new resident files and resident handbooks and preparing (mail or email) marketing packets.
- Assist the Marketing Team with the tactical aspects of implementing the Marketing and Sales Plan.
- Manage files and records for Depositors, Future Residents, Residents and Expression of Interest respondents (if applicable).
Other responsibilities include:
- Completes administrative tasks for the Marketing Department such as answering telephone calls, printing materials, and entering data.
- Serves as the move-in coordinator and works with residents on apartment selections
College Degree preferred but not required
