Position: Executive Assistant to the CEO

Job Type: Part-time, Non-exempt

Location: Remote

Hours: Monday - Thursday, 9:00 a.m. - 2:00 p.m. EST

Reports To: Chief of Staff

Compensation: $25 per hour

Essential Functions:

  • Coordinate and manage logistics for executive offsites, board meetings, and board retreats, ensuring seamless execution and attention to detail.
  • Assist with the proofreading of CEO memos, support the design of call decks, and schedule pre-call check-ins to review agendas and talking points, maintaining clear and effective communication channels.
  • Schedule and manage communications with donors, partners, and stakeholders, aligning with the CEO's communication goals, including organizing five fundraising meetings and ten email outreaches per week.
  • Manage the CEO's calendar to reflect and support the organization's goals and strategic vision, ensuring efficient use of time and resources.
  • Organize and support site and donor visits, facilitating productive meetings and engagements that align with organizational objectives.
  • Track and manage the CEO's receipts and financial documents, ensuring timely submission to the Accounts Payable department.

Required Experience and Qualifications:

  • Excellent written and oral communication, with a strong emphasis on cultural competency and the ability to effectively communicate across diverse cultural backgrounds.
  • Flexible, adaptable, and well-organized, with a demonstrated capacity to navigate cross-cultural environments and foster inclusive spaces.
  • Proven experience in high-level administrative support, particularly in a non-profit or entrepreneurial setting.
  • Demonstrated ability to plan and execute events and meetings with a keen eye for detail and logistics.
  • Strong communication skills, with a talent for proofreading, document design, and effective stakeholder engagement.
  • Proficiency in calendar management and scheduling, with a strategic approach to supporting executive leadership.
  • Experience in financial documentation and expense tracking, ensuring accuracy and timeliness in financial reporting.
  • A minimum of 2 years of experience in a similar role, preferably in a dynamic and culturally diverse environment.
