Job Description

The Director of Summer Programs (DOSP) is a full-time position responsible for the oversight of all summer activities at The Stony Brook School as well as rentals and selected conferences throughout the academic year. The DOSP is responsible for delivering high quality programs that advance the mission of the school, and for making best use of SBS's facilities and resources to generate revenue.

FINANCIAL PLANNING

The DOSP is responsible for the financial health of Summer Programs. The DOSP will forecast revenue, set budgets, hire staff, and oversee spending throughout the summer, as specified below.

  • Forecast revenue for the upcoming summer session, taking into account in-house programs, outside rentals, partnerships, and sponsorships.
  • Create the yearly budget
  • Set camp staff salary structure, in conjunction with the school CFO
  • Keep track of all spending via Purchase Orders, Check Requests, Petty Cash, etc.
  • Set prices for each camp program
  • Set rates for facility rentals and other partnership fees
  • Work with the school's dining service to create a financially feasible plan for camp meals

MARKETING

The DOSP is responsible for putting together a marketing plan and marketing materials, in conjunction with graphic designers and print companies, each fall for the upcoming summer. This includes, but is not limited to: Website, Yearly camp brochure, Postcards, Social Media Boosts, Newspaper ads.

SUMMER PREPARATION

The DOSP is responsible to hire staff, oversee camp registration, manage partnerships, and interface with the Suffolk County Department of Health. These tasks include, but are not limited to:

  • Conducting a pre-camp inspection with the SCDOH to ensure the grounds are in proper order, as according to the state.
  • Ensure each program is adequately staffed, and that each staff member has gone through a background check
  • Keep track of enrollments and program capacities.
  • Work with the Facilities Office to develop a summer maintenance plan.
  • Work with Marine Programs, Athletics and Academics to explore and collaborate all summer options.

CAMP EXECUTION

During the summer months, the DOSP will directly oversee all summer activities, and will ultimately be responsible for the growth, development, and performance of all SBS Summer Programs Staff Members.

  • Conduct a thorough staff training week which include job training, abuse prevention, CPR training, and general SBS conduct expectations.
  • Run morning staff meeting every day
  • Run morning Flagpole and evening Carline
  • Mentor staff Program Heads and help them lead their staff and their campers.
  • Support and encourage each staff member
  • Help Program Heads manage reservations, bills, invoices, and other general paperwork
  • Assist the Photographer/Videographer with marketing efforts and the creation of the session slideshow
  • Plan Family Nights
  • Interface with parents
  • Conduct the final camp inspection with the SCDOH

CAMP WRAP UP

Following each summer in the Fall, the DOSP will work closely with the school's Business Office to review camp finances and use the final report to begin forecasting revenue for the following summer. Review each program, staff member, partnership, and campers that may have presented a concern. Begin planning programs for the following summer.

CONFERENCES AND RENTALS

The DOSP will oversee rentals throughout the year and will assist and even lead conferences held at the school. The DOSP will work closely with relevant offices to coordinate facilities and activities.

Experience: Experience running a successful summer program required.

Computer Skills: Knowledge and experience with Google docs, Microsoft Office, especially word and excel, and Databases.
