Intermountain is a pioneering agency in the areas of mental and behavioral health. We provide hope and healing for children, families and adults through a variety of services across Montana. We are currently looking for an experienced Executive Assistant who will provide comprehensive support to our CEO and executive team while also assisting with project management tasks. The ideal candidate will be highly organized, detail-oriented and capable of multitasking in a fast-paced environment.
Responsibilities:
- Provide administrative support to the CEO including schedule management, providing documentation and support for board and CEO office activities, development of some communication materials, policy and process development, documentation, and standardization.
- Provide administrative support to the executive team, including meeting minutes, calendar management, travel arrangements and expense reporting.
- Coordinate and schedule meetings, conferences and special events. May assist with setting up and take down of events and meetings.
- Creation of standard templates and tools.
- Collaborate with project managers to support the successful execution of projects, including tracking milestones, managing timelines and facilitating communication among team members.
- Prepare and distribute reports, presentations and other materials as needed.
- Handle confidential information with discretion and professionalism.
- Perform other duties as assigned to support the CEO ,executive team and organization goals.
Qualifications:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software.
- Proven experience as an Executive Assistant,.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills, both written and verbal.
- Bachelor’s degree in Communications, Business Administration, Management or a related field preferred but will consider any combination of relevant education and experience.
- Ability to work independently with minimal supervision and as part of a team.
- Attention to detail and a commitment to delivering high-quality work.
- Experience working in a fast-paced environment and handling multiple projects simultaneously.
