Job Summary: Under supervision of the Manager of Staffing Operations and in cooperation with the Inpatient Clinical Nurse Managers/Director of Residential Services, reviews inpatient/residential staff time records for completeness and accuracy. Reports discrepancies to their supervising manager.


QUALIFICATIONS:

1. A.A. preferred.

2. One year of office management, administrative services or staffing experience required.

3. Previous experience in Microsoft Applications, and other database management required.


ESSENTIAL DUTIES & RESPONSIBILITIES:

Core Competencies

Compare employee time cards to daily staffing sheets and assignment sheets to ensure accurate recording of meal/rest periods, coding of necessary pay codes, or department/job transfers.

Review timecards to ensure the employees’ time is accurately recorded and complete prior to period close.

Review timecards to ensure the earntime entered is correctly coded and the total amount does not exceed policy standards prior to period close.

Communicate with employees to ensure exceptions such as missed in/out or meal period punches or job transfers are completed in a timely manner and prior to period close.

Escalate unresolved exceptions to the supervising manager for follow-up prior to period close.

Identify areas/trends in individuals misunderstanding the process. Assist supervising manager /Manager of Staffing Operations with recommending additional training needs.

Communicate discrepancies and/or unusual or questionable time entries or patterns to appropriate supervising manager.

Assist employees in completing pay period authorization forms for corrections needed after the payroll has processed. Obtain the employee and supervising manager signature and forward to the payroll office for processing.

Using reporting provided by the HR IS Analyst and/or ADP Attendance module, assist supervising manager in monitoring, updating and tracking attendance issues and staff on a disciplinary track.
