The Role

This position provides administrative assistance to the CEO, CFO & COO. This position will process all expense reports and will support company-wide projects and events as needed, as well as provide additional administrative support as needed.


Responsibilities

  • Provide high-level administrative support to Executive team (CEO, CFO, and COO)
  • Perform clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents
  • Handle inbound and outbound mail (USPS and FedEx)
  • Order equipment and supplies for Executive Team as needed
  • Manage individual calendars and schedules
  • Partner with the Office Administrator in coordinating on-site meetings as related
  • Prepare for presentations and meetings
  • Record and distribute meeting minutes as requested
  • Arrange off-site meetings (including booking reservations, coordinating luncheons, etc.)
  • Prepare and process all expenses reports
  • Review and code all invoices
  • Arrange domestic and international travel and accommodations (flights, lodging, general transportation)
  • Provide other administrative duties as needed


Requirements

Education/Experience

  • Bachelors degree or higher is required 
  • Notary certification a plus       
  • At least five years of experience as an administrative assistant
  • Excellent computer skills; proficiency in Microsoft Outlook, Word, Excel, and PowerPoint, and aptitude for new software applications
  • Use a computer and telephone for extended periods of time
  • Available to travel occasionally as needed

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds
