Job Description

Tallahassee Primary Care Associates is looking for a Director of Operations. Qualified candidate must pass a credit check, criminal background check to include references and a drug test.

Specific experience in healthcare operations is required.

Minimum Qualifications

  • Bachelor's degree in Human Resources, Management or related field. MS/MBA will be a plus
  • 5-7 years Human Resource, Management or related experience, two of which directly relate to human resources management and employee relations
  • Excellent leadership, interpersonal, management, decision making and organizational skills
  • Outstanding communication and people skills
  • Knowledge of industry's legal rules and guidelines
  • In-depth knowledge of diverse business functions and principles
  • Working knowledge of data analysis and performance/operation metrics
  • Must be able to pass a financial credit check

Essential Functions Of Position

Healthcare Operations and Strategic Planning

  1. Improves organizational performance by identifying opportunities for operational improvement and establishes/recommends processes for operational excellence.
  2. Maintains effective communication with assigned practices and provides assistance with contractual, compensation, operational, human resource, financial, and other practice management needs.
  3. Oversees the development of recruitment and growth plans for assigned practices and ensures smooth integration of new physicians and practices into practice operations
  4. Coaches and develops direct reports to build and maintain a highly competent and professional physician practice management team, capable of delivering exceptional service that meets business requirements.
  5. Provides collaborative advice in a supportive but direction setting manner. Thinks strategically but able to provide hands-on guidance in the tactical, day to day activities, leading to sound recommendations and best practice outcomes. Leads employees through the change process by providing direction for successful performance during times of transition.
  6. Manages the organization's operations by directing and coordinating activities consistent with established goals, objectives, and policies
  7. Works closely with company leadership for operational activities and to set strategic goals
  8. Works closely with practice leadership to drive optimal clinical operations, excellent patient satisfaction, best practices and strategic growth
  9. Work with senior management to develop and execute ongoing strategic initiatives and planning for all practices.
  10. Plan successful onboarding of new physicians and practices and relocation of existing offices,
  11. Lead integration team(s) and team members for onboarding new physicians and practices and relocation of existing offices.
  12. Lead marketing team to ensure individual practices and TPCA have market presence, proper branding, advocating for new approved service lines, and marketing to create opportunities to increase patient volume.
  13. Integrate with Central Business Services and Central Administration in strategic initiatives.
  14. Evaluate right-sizing of staff and resources for optimal practice performance
  15. Serve as senior management liaison with department managers in TPCA to coordinate professional support and to ensure reasonable, consistent and accurate policies and procedures interpretation and application with TPCA
  16. Coordinate and assess input from the management staff in TPCA to develop proposals for programs, policies and projects designed to assist TPCA in achieving its strategic objectives
  17. Monitor staff in the interpretation and application of policies and procedures to ensure fair and consistent treatment of all employees; identify areas of policy development necessary to meet the diversified needs of the TPCA workforce

Record Keeping

  1. Ensure compliance with all applicable laws and regulations.
  2. Compile and prepare a variety of reports and analyses reflecting various data as requested; review for appropriateness and facilitate the processing of various forms; ensure maintenance of appropriate records

Supervisory

  1. Oversee Human Resources unit, operations, goals, objectives and results
  2. Oversee Community Relations/Communications unit, operations, goals, objectives and results
  3. Successfully and strategically resolve conflicts under TPCA mission, policies and procedures
  4. Demonstrate confidentiality in all areas and with emphasis on identity theft role

Safety

  1. Wears TPCA badge during work hours
  2. Report any safety and/or OSHA violations witnessed to the CEO
  3. Complies with OSHA standards

Cooperation

  1. Coordinate duties with other staff members
  2. Communicate professionally and effectively with co-workers within and outside of TPCA

Judgment

  1. Demonstrate exceptional judgment, poise and understanding with or without respect to the circumstances
  2. Report any violations of policy witnessed while working to the appropriate personnel

Reliability

  1. Complete assigned tasks in a timely fashion
  2. Punctual and efficient

Other duties as assigned

  1. Perform other related duties incidental to the work described herein

Physical Requirements of Position

  1. Must be able to effectively communicate with peers, supervisor, clients and the public
  2. Occasional bending, stooping, lifting and stretching
  3. Requires hand-eye coordination and manual dexterity sufficient to operate a vehicle
  4. Ability to sit at a desk and operate computer equipment for extended periods of time
