Job Description

Willis Eckfeldt, a personal financial planning, and investment firm in Mercer Island, is searching for a Client Service Associate to deliver trading, portfolio allocation, and administrative excellence to the team and families we serve. This position will provide hands-on support to the advisors and clients, helping maintain and enhance overall efficiencies.

The Client Service Associate must possess exceptional organizational skills and can prioritize tasks and manage time effectively. Must be able to maintain organizational systems and adapt to fit different managers’ styles. The ideal candidate will be professional and poised and value integrity and honesty. We seek someone with strong leadership and project management skills, who takes pride in owning their work with excellent follow through. Must be extremely service oriented. This is not an advisory position and will not lead to becoming an advisor.

This position is eligible for a hybrid work arrangement, with 2 days per week in office and 3 days per week work from home. Willis Eckfeldt’s office is located in Mercer Island.

Key Responsibilities of the Client Service Associate:

  • Oversee client trades under the direction of advisors.
    • Execute trades on the following platforms: Wealthscape (Fidelity), Schwab Advisor Center (Charles Schwab), DST Vision, various mutual fund websites.
  • Track client account transfers, rollovers, distributions.
  • Manage portfolio allocations and provide advisors with specific recommendations.
    • Review existing client portfolio allocations to determine if a rebalance is appropriate.
    • Prepare reallocation of new client portfolios.
    • Build up cash in accounts for distributions/withdrawals or management fees.
  • Monitor and provide guidance for money movement.
    • Monitor cash level in client accounts for distributions/withdrawals, management fees, excess cash.
    • Deposit funds in client accounts via check, bank link, or money wire.
  • Oversee billing of advisory accounts.
    • Before the end of each quarter, review advisory accounts for sufficient cash to cover management fees.
    • Calculate and make necessary adjustments to AUM percentage fee for specific clients.
  • Complete client account paperwork and process internally and externally.
  • Perform, enhance, and monitor workflows required to service clients.
  • Ability to work with custodian interface by completing new account applications and various account maintenance forms, processing cash and securities transactions, and following up on transactions as needed.
  • Monitor and maintain databases including Orion, Eclipse, and Redtail.
  • Establish client accounts and process internal and external asset movements through custodial platforms which are Fidelity, Schwab, and American Funds.
  • Prepare advisors for meetings with appropriate forms, reports, data, and research.
  • Help support staff such as checking mail, sending packages to clients, bringing coffee to clients, etc.

What the Successful Client Service Associate will have:

  • Bachelor’s degree in finance, business, or other related field.
  • Minimum 5 years of order entries or trading in the financial services industry.
  • Experience with Orion, Eclipse trading platform, or other performance reporting/trading/rebalancing software such as Tamarac.
  • Proficient in all aspects of the Microsoft Office suite with strong Word and Excel skills, and ability to learn new software and technologies.
  • Series 7 and Series 66 licenses (or willing to obtain within a specified timeframe).
  • Self-starter, problem-solver, and goal-oriented team player.
  • Able to respond in a timely manner, organize tasks, and adjust to changing priorities based on the needs of the firm.
  • Excellent written and verbal communication skills with strong attention to detail and accuracy.
  • Ability to work independently as well as effectively in a team environment. Must be able to lead a team and lead team projects. Strong interpersonal and relationship building skills. Punctual.
  • Self-confidence, professionalism, personal integrity and an understanding of fiduciary responsibility and regulatory procedures.
  • Ability to maintain utmost discretion in working with sensitive and confidential information.

Compensation:

  • $72,000 to $77,000 per year
