Reports to:  Clerical Administrative Specialist Manager  

 

Supervises:  N/A

 

Purpose: This support position plays a crucial role in ensuring we can deliver specific family services promptly by diligently preparing and filing all necessary legal documents and paperwork. Phone answering and reception duties are also an important component.

 

Compensation: Your rate of pay will be $23.00/hr; $34.50/hr Overtime; $47,840/year. The position also participates in the quarterly bonus opportunities based upon department and company performance as graded by our client families with a quarterly bonus structure to be defined. Pay days at the Company are bi-weekly.

 

Experience:

  • Reception and greeting the public.
  • Typing proficiency at 40 words per minute or better.
  • Basic computer skills for computerized customer relationship management database.
  • Excellent email and communication skills.
  • Knowledge of medical terminology is desirable, but not mandatory.

 

Job Description: This position is often the very first contact the public will have with our company when walking into the mortuary.  The first impression an individual has with us should convey compassion and care for those in grief. Multitasking and prioritization skills are crucial.  A personality that is calm amid pressure and able to handle families in distress with grace and kindness will be best suited to cope with daily workloads.


Duties: Opening and closing the mortuary service and arrangement rooms and monitoring their cleanliness, organization, stock supply and availability.

 

Ascertain how each individual waking in our door would be best served and who should help them while remaining in compliance with the FTC rule. 

 

Scanning case files thoroughly and ensuring the scanned file has been uploaded entirely into our company database.

 

Training:  An overview of mortuary functions and services provided is crucial in understanding how this support role fits into the overall structure of our company.  You will be shown how most facets of our business work including planning and working services.

 

Regular staff trainings covering a variety of topics are part of the company’s commitment to continued training and development.

 

The company provides on-the-job training, which includes our Administrative Clerical Manager working with you directly for personal instruction.

 

Employee Benefits: Full time employees are eligible to enroll in the group health and dental plan at the time of hire effective after your first 30 days of full time employment.  The company will provide a fixed dollar benefit that will be applied toward the employee’s monthly medical and dental insurance premium.  


Employees are responsible for the difference between the insurance premium and the fixed benefit amount.  This difference will be paid back to the company in the form of a payroll deduction made twice a month.  In the event the insurance premium is less than the fixed benefit amount, the company benefit amount will cover up to the amount of the insurance premium.

 

·       Full time employees become eligible to participate in the company Harbor 401k plan. The first open period after 12 months of consecutive full time employment.  Open enrollment months are January and July. Details of the plan are available to you at any time and will be provided prior to your eligibility.

·       O'Connor Mortuary provides 8 paid holidays for full time employees. Holidays to be observed are:

 

            New Year’s                   Martin Luther King                    Presidents Day                          Memorial Day            4th of July                     Labor Day                                 Thanksgiving Day                      Christmas Day

 

If one of the preceding holidays falls on your regularly scheduled day off or you work the holiday the company will compensate the employee with the day off later, that does not conflict with the schedule.

Performance:  You will be evaluated on performance of the duties identified above, per our core competency checklist.  Initial goals for competencies required to learn and become proficient with all aspects of the Director of First Impressions and Reception role will be laid out and progress monitored.

 

As proficiency is attained on short- and medium-term goals, additional core competency goals will be added.  All goals whether short or long term will be given attainment or completion dates.  If specific tasks related to the competency standards are not met, dates will be renegotiated.  As time passes management will determine if sufficient progress is being made to warrant continuation of the employment relationship, salary rate considerations, or promotion.
