Record Manager/Public Affairs Specialist – Edwards AFB, CA



JOB SUMMARY:

BB&E is seeking a Records Manager/Public Affairs Specialist to assist with the Environmental Restoration Program for Edwards AFB, CA.

JOB DUTIES AND RESPONSIBILITIES:

  • Prepare draft version of environmental restoration program (ERP) bimonthly newsletter (6 issues/year). Track and plan topics, coordinate government approval; compose journalistic articles and gather photos; edit and design layout; obtain Air Force, regulatory, and base Public Affairs approval before publishing online and submitting to Defense Logistics Agency for printing and distribution; distribute to community Restoration Advisory Board (RAB) members electronically and in hard copy; maintain update to date mailing list.
  • Provide support for field trips, onsite tours, workshops, and seminars of ERP activities and specific cleanup technologies for the RAB.
  • Support electronic and social media (i.e. Facebook) for the RAB. Support includes update and content maintenance of environmental web pages (Edwards public website) and other electronic media systems (Facebook) for the RAB in accordance with (IAW) 412th Test Wing Public Affairs processes and 412th Communications Squadron standards.
  • Provide support for Remedial Project Manager (RPM) meetings (typically 6 per year), including: onsite meeting reservations; coordination with RPMs and program managers; point of contact list updates; RPM action items; agenda; handouts; and preparation/finalization of meeting minutes. This task also includes attendance (travel) and support for offsite RPM meetings, as required.
  • Assist with tracking ERP tracking to include schedule extension requests, addition of new line items, timeline adjustment and workload leveling of schedule, coordination of schedule with AF, and publication of schedule. Microsoft Office Project 2007 or newer (provided by the government) will be utilized.
  • Maintain a Comprehensive Document Tracking Spreadsheet to include tracking and maintenance of primary and secondary documents from pre-draft to draft. Requires weekly updates and follow-ups with PMs and their contractors.
  • Provide meeting support to include collecting agenda items; onsite meeting reservations; MS Teams reservation and setup; conference call reservation; and preparation and distribution of agenda and presentation materials.
  • Assist with ERP records management/ERP library.

EXPERIENCE:

  • Several years’ experience as a writer, either in public affairs, community relations, or journalism; records management or library science.
  • Proficient with Microsoft Word, Project, Excel, PowerPoint, and Outlook in addition to Adobe Acrobat, InDesign, Photoshop, and Illustrator.

EDUCATION:

  • Associates Degree in Journalism, Library Science or a related subject.

JOB QUALIFICATIONS AND SKILLS:

  • Attention to detail is essential as well as strong organizational skills.
  • Must be motivated to work independently and productively on large, recurring projects, some occurring simultaneously.
  • Able to juggle and meet multiple deadlines simultaneously.
  • Must possess strong professional communication skills with peers and customers.
  • Ability to review historical documents and apply processes to execute tasks.
  • Ability to comprehend and follow established Air Force procedures and instructions, but also troubleshoot within certain guidelines.
  • Experience with Air Force Records Management and maintaining an Administrative Record Library.
  • Successful completion of a T-1 Trustworthiness background check for a Common Access Card (CAC), or the ability to obtain one.
  • Motivated self-starters requested.
  • Strong verbal & written communication skills.


PHYSICAL REQUIREMENTS:


  • Required to stand, walk and sit; talk or hear, both in person and by telephone; use hands to finger, handle or feel objects or controls; reach with hands and arms. Regularly required to stoop, kneel, bend, crouch and lift up to 25 pounds.
