Salary: $96,933.80 to $121,062.08.

POSITION SUMMARY

 

The Operations Manager is responsible for leading and managing operations functions that support the work of SCPDA. This includes supervising the day-to-day functions of the Office Manager, IT, Law Office Assistants, Legal Secretaries, Data Collection, and Analysis. The operations manager leads the operations teams to promote fair legal outcomes, equity, and social justice. The Operations Manager will strive for continuous growth and improvement in a practical, modern office environment while maintaining transparency and accountability.

 

ESSENTIAL FUNCTIONS

 

Planning and strategy

  • In collaboration with the Executive Director, the Assistant Director, the Human Resources Manager, the Administrative Manager, and the Finance Manager, facilitate annual agency-wide planning and accountable systems. Facilitate honing abstract ideas and connecting them concretely to the work.
  • Contribute to multi-year planning for growth and goals and support continual improvement in effective legal services.
  • Keep current on the standard of an effective office environment and lead the operations team in best practices to support SCPDA’s work. Network with other Operations Managers. Identify opportunities to improve outcomes and improve confidence in systems. Lead creative and innovative business solutions. Recommend resource allocation to support organization goals and initiatives.

Supervision and Management

  • Directly supervise the Officer Manager, Law Office Assistant Supervisor, Legal Secretary Lead, and IT Manager.
  • Collaborate with Assistant Director to address impacts and connections between operations and legal services teams.
  • Coordinate with the HR Manager to improve onboarding, inboarding, and offboarding processes in collaboration with other teams.

 

Business Practice Implementation

  • Project change management, which includes refining goal clarity, forecasting issues, and fostering feedback loops across all roles to identify issues, achieve goals, facilitate goal prioritization, develop actions to solve selected issues, implement those actions, and follow up until issues are resolved and goals are obtained or further refined.
  • Assist with communication and transparency of organizational goals, processes, and practices. Communicate tasks and processes.
  • Facilitate organization-wide feedback to understand where business practices require modification to better meet the needs of the operations and legal services teams.
  • Facilitate documentation of procedures leading to best practices and standard operating procedures.
  • Regularly evaluate work processes and identify opportunities for improvement.

 

 

Anti-racism Leadership

  • Envision and create a working environment for all bodies, develop and implement policies and practices that promote accessibility, inclusion, and equal opportunity for career advancement.
  • Learn from and amplify insights from the Anti-racism Committee and all defender roles.
  • Prioritize collaboration and cooperation in your interactions with all Defenders. Hold yourself accountable when contributing to differences in power and identity, and act in ways that honor the authenticity, value, and dignity of each Defender.
  • Seek to cultivate constructive relationships with court stakeholders, business contacts, and community organizations to benefit clients and represent SCPDA with mindfulness, compassion, and consideration toward others.
  • Grow in recognizing and naming racism and other oppressions within our work. Model vulnerability as you explore these issues.
  • Intentionally engage in antiracism learning using a framework (for example, Awareness, Knowledge, Skills, and Action).
  • Adhere to company policies and procedures.
  • Participate in meetings as requested.
  • Other duties as assigned.

 

QUALIFICATIONS

 

  • Five (5) years of office management experience, preferably in a legal environment or any equivalent combination of training and/or experience that provides the required knowledge and abilities to perform the position.
  • Knowledge of effective office and resource management principles and practices, including environmental sustainability.
  • Ability to align with SCPDA’s mission in a leadership role.
  • Ability to manage, supervise, and evaluate employees.
  • Ability and willingness to manage and seek resolution of conflicts, including guests in the lobby, interpersonal conflicts between or among team members, and competing priorities using Anti-racist and trauma-responsive principles. Willingness to engage in candid conversations with all interested parties about race and equity in our work.
  • Knowledge of county and court operations, functions, and procedures and risk analysis experience.
  • Knowledge of historical and current racism in policing and court systems.
  • Ability to communicate concepts effectively in writing and speech while demonstrating strong knowledge of English language, spelling, grammar, punctuation, and word usage.
  • Excellent time management and critical thinking skills.
  • Able to automate processes and build systems.
  • Able to build new capacities for learning and seek opportunities to expand your approach to problem-solving.
  • Ability to align your actions with the rules and guidelines of professional conduct when interacting with stakeholders in the court system.
  • Ability to curiously explore and incorporate perspectives different from your own.
  • Ability to anticipate and respond to the needs of all defender roles.
  • Must have knowledge, skills, and abilities to work with traumatized people.
  • Ability to connect with, value, and amplify concerns expressed by all defender roles.
  • Proficient in Microsoft Word, Excel, and Outlook. Ability to learn and use a variety of software applications.
  • Able to operate standard office equipment.
  • Ability to maintain ethical and professional standards of the office and observe strict confidentiality.

 

 PHYSICAL REQUIREMENTS

 

  • Frequent standing, walking, and sitting.
  • Frequent lifting and carrying up to 10 pounds.
  • Occasional lifting and carrying up to 20 pounds.
  • Must be able to work at a computer or desk area for extended periods of time.
  • Requires ability, with or without accommodation, to use a computer screen and other electronic devices, input information, and read and interpret data from the screen.
  • Other hazards are those present in a typical office or courtroom.


Benefits and compensation package:

 

- Compensation: $96,933.80 to $121,062.08, depending on experience.

- After full 6 months of employment we provide a 10.39% retirement contribution, with no employee       contribution required. (The percentage may vary from year to year)

- The Association pays for 100% of the employee's medical and dental insurance, as well as most of the premiums for dependents.

- We offer short-term/long-term disability benefits at no cost to employees.

- Life insurance is also provided at no cost to employees.

- 21 days of Paid Time Off (PTO) per year.

- 11 days of Holiday Pay.

- Continuing Education Funds (Up to $450/Year). (First year is prorated)
