Hennebery Eddy Architects has an established brand and an expanding regional and national presence. As the firm grows, so is our marketing team. Successful proposals are business art - and a vital component of bringing work into the firm. The proposal coordinator is central to our strategic, sophisticated, and collaborative pursuit process. We seek a storyteller and team player with a strong grammar game and eye for design. In this mission-critical role, you'll interface with staff at every level of the firm and in multiple office locations, helping teams connect our brand to our business goals. This position requires working in-person in our Portland, Oregon studio with the potential for hybrid work after an extended onboarding period.

Responsibilities

  • With direction from a marketing director or manager, coordinate preparation of proposals and statements of qualification, rough draft through production. This includes planning, writing and editing, layout design, proofreading, internal coordination with design staff, external coordination with partner and subconsultant firms, and RFQ/RFP compliance.
  • Support interview and presentation preparation through development and production of graphics and collateral.
  • Occasionally and with direction from a marketing director or manager, coordinate the preparation of award submissions and technical report documents, rough draft through production, including writing, editing, layout design, proofreading, and coordination with design staff.
  • Assist with database maintenance, including entry and updating of project descriptions and staff resumes and processing and cataloging of digital assets and photography.
  • Assist with a broad range of additional marketing efforts, such as marketing collateral, market research, and online media.
  • Champion, refine, and maintain brand identity guidelines and the firm's graphic system across marketing and project teams.
  • Multi-task in a fast-paced environment with aggressive deadlines; this may require working overtime during peak periods.
  • Be actively involved in professional and community organizations; represent the firm to clients, peer organizations, and business associates.

Qualifications & Skills

  • Bachelor's degree in marketing, communications, journalism preferred, or a related combination of education and experience.
  • Proficiency with Adobe Creative Suite and Microsoft Office Suite required.
  • Professional skills in graphic layout design, with ability to organize and format complex documents and presentations and ability to understand and apply brand guidelines.
  • Demonstrated professional skills in writing and proofreading, including ability to follow advanced style guides.
  • Interpersonal communication to assign and manage tasks and develop high-quality deliverables in collaboration with staff across the firm.
  • Ability to work independently and collaboratively, taking direction from others.
  • Ability to focus and work under deadline pressure with attention to accuracy, consistency, detail, and the ability to manage competing priorities and deadlines.
  • Experience with CRM or similar databases a plus.

Comparable Experience

Candidates with transferable skills from adjacent experience are encouraged to apply. Adjacent experience may include grant writer, research assistant, newspaper reporter, publishing assistant, or similar roles as a student, volunteer, or in other professional services industries.
