Document Specialist I: $6,416.80 - $8,216.00 monthly
Document Specialist II: $7,085.87 - $9,068.80 monthly

Valley Water Telework Program: Eligibility for telework will depend on the type of work performed, operational needs, and the ability for the employee to perform the essential functions of their job duties while teleworking. Employment with Valley Water requires employees to live within 150 miles of their primary physical work location located in San Jose, California by their start date.
This position is eligible for a hybrid telework schedule, typically working 40% remote and 60% onsite.
Overview:
Perform a variety of duties associated with editing, proofing, and formatting documents; performing high volume word processing in a production environment; to produce a variety of routine, technical, and complex documents and reports using assigned work on computers and word processing software; provide back up support to the Forms Technician; and to perform a variety of related tasks and other duties as assigned.
Key Responsibilities include, but are not limited to:
- Proofing, editing, and formatting simple and complex documents; expert knowledge in English grammar and usage.
- Advanced knowledge of Microsoft Word, Excel, PowerPoint, Adobe Acrobat functions.
- Customer Service - excellent communication skills (written and verbal) when interacting with internal and external customers.
- Provide back up support to Valley Water's Forms Technician.
- Perform other duties as assigned.

Ideal Experience:
Document Specialist I
1 year of general administrative or office support experience.
Document Specialist II
3 years of general administrative or office support experience.
Document Specialist I/II
- Strong customer service skills.
- Excellent organizational skills.
- Must be detailed oriented.
- Document editing experience.
- Proficient in working with a variety of software.
Ideal Skills and Abilities:
Document Specialist I
- Use common desktop applications and software as well as specialized software related to the work in a production setting.
- Type at a speed necessary for successful job performance.
- Proofread and edit work according to established guidelines and procedures.
- Learn operational capabilities of production word processing equipment.
- Learn proper format and style for business correspondence, reports, and varied typed materials.
- Learn to prioritize work and meet critical deadlines.
- Learn to transcribe machine dictation quickly and accurately.
- Maintain records and logs of work performed.
- Communicate clearly and concisely, both orally and in writing.
- Establish and maintain effective working relationships with those contacted in the course of work.
Document Specialist II In addition to the qualifications for Document Specialist I:
- Prioritize work and meet critical deadlines.
- Transcribe machine dictation quickly and accurately.
Ideal Knowledge:
Document Specialist I
- Best practices for office procedures, methods, and equipment.
- Principles and practices of word processing.
- Principles of business writing and report preparation.
- Principles and procedures of recordkeeping.
- English usage, spelling, grammar, and punctuation.
Document Specialist II
In addition to the qualifications for Document Specialist I:
- Principles and practices of word processing.
- Operational capabilities of production word processing equipment.
- Proper format for business correspondence, reports and varied typed materials.
Ideal Training and Education:
Document Specialist I/II
Equivalent to the completion of the twelfth grade
Ideal training equivalent to a Microsoft Office Specialist: Associate certification in Microsoft Office programs, i.e., Word, Excel, PowerPoint
Required License or Certificate

Selection Process
(1) The selection process may include one or more of the following: application review, application assessment, performance exercise, written exercise and/or interview.

Fully vaccinated means a person has completed the entire recommended series of a COVID-19 vaccine plus their first booster.
